Multi-site SDS management: one library, every location

If you run more than one facility, "where is the SDS for this?" has to have a fast answer at every one of them — not one central binder three buildings away. Multi-site management lets you keep a single organized catalog while giving each location exactly the sheets and access it needs.

What multi-site management is

A "site" is a physical location you operate — a plant, a warehouse, a lab, a store. OSHA’s Hazard Communication Standard requires that safety data sheets be "readily accessible" to employees in their work area during each shift. When you have several locations, that means each site needs the sheets for the chemicals actually present there, kept current, and reachable by the people who work there.

Multi-site management in SDS HQ gives you one shared catalog of sheets that you tag to the sites where each chemical is used. A location only shows the sheets that belong to it, and people are given access per site — so a warehouse manager sees the warehouse library, while a compliance lead can see across all of them.

Why it matters for compliance

Right-to-know is enforced at the point of work. An inspector or an injured worker asks for a specific sheet at a specific location, and it has to be there — not "at headquarters." Running every location out of one undifferentiated pile makes that hard: sites end up with sheets for chemicals they don’t stock, and miss ones they do.

Per-site libraries keep each location’s access accurate, and an org-wide roll-up lets whoever owns compliance see coverage and gaps across the whole company in one place, instead of logging into a different system per building.

How SDS HQ does it

Organization settings showing multiple sites — Main site, R&D Lab, and West Warehouse — each with its own access list
Run every location from one organization — each site has its own library and per-site access, with an all-sites roll-up.

The model is a shared catalog with per-site scoping, not siloed copies you have to maintain in parallel:

  • A site switcher lets anyone move between locations; the library, dashboard, and search all filter to the selected site.
  • When you add or publish a sheet, you assign it to the sites where that chemical is present, so a single master record can serve many locations without duplication.
  • Access is org-wide by role and membership by site: an author or viewer is granted the specific locations they belong to.
  • An "All Sites" roll-up gives an organization-wide view of your library’s health and coverage for whoever owns compliance.
  • Sites are managed from your organization settings, and your plan sets how many locations you can run — Host Plus and Author Plus include up to ten, with additional sites available as an add-on.

Because everything sits on one shared catalog, updating a sheet updates it everywhere it’s used, and reporting rolls up automatically — you get local accuracy and central oversight at the same time.
